How long does it take to receive the funds from a donated vehicle?
-
After a donated vehicle sells, CARS distributes payments to the nonprofit partner within five business days of receipt of the funds from the vendor with full transparency and detailed financial accounting (most vendors pay CARS within 10 business days of the sale of the vehicle). We offer ACH electronic (direct deposit) payment options for you to quickly and easily receive your funds. As a courtesy, we also provide you and your donors with the necessary tax documents, including filing all 1098-C Forms electronically with the IRS and sending thank-you letters to your donors on your behalf. You may provide your logo, letterhead and a statement to customize the thank-you letter. We follow all fundraising and government compliance and can process donations in every state. You can track updates of donations and payments within your NAV account.

How long is the entire sale process?

The entire sale process can take approximately four to 12 weeks. However, there are times the sale process can exceed 12 weeks. This occurs if we are holding onto the vehicle for a better sales price, etc.

Can I track my donations?
-
CARS works with our vendors to ensure timely payments, and we review all transactions for accuracy of fees, proper sale documentation and completed title paperwork. You can track updates of donations and payments within your NAV account.

How will I receive payments of my funds?
-
A Check in the Mail: You can choose to receive payments of your funds sent by check in the mail. If you choose to receive payments by mail, a payment report will be included.
2) Automatic Direct Deposit: If you choose to receive payments by direct deposit, a payment report will be emailed to you on the day of your direct deposit. ACH and EFT payment processing is available and encouraged. Automatic Direct Deposit Form (ACH).

Will I receive payment reports and how will I receive them?
-
Payment Reports are sent to you with your checks or emailed to you on the day of your direct deposit. Each instance in which proceed payments are disbursed to the nonprofit, a sales report is emailed to your predesignated personnel on behalf of CARS Accounting Department. For each donated vehicle sold, the report specifies all final details of the vehicle donation once CARS has received the funds and recorded all revenue, expenses, and donation details including donor name, address information, sale price, tow and auction fees, and net revenue.

How are the towing and auction fees handled?
-
While there are no monthly or annual costs, there may be operating costs in processing the donated vehicles, like towing and auction fees, and any expenses are taken out of the net funds received from the donation. However, CARS ensures that partners will never incur a loss for any donated vehicle. In a rare instance where a sale yields a negative amount, CARS absorbs the loss. All expenses are clearly listed on your payment report and are available for you to review by logging into your NAV account.
Because CARS manages so many vehicles, it creates the opportunity to negotiate some of the best tow and auction rates in the industry, keeping operating costs down and maximizing the revenue returned to our nonprofit partner. Why does CARS use the Percentage Model?

CARS is strongly committed to the Percentage of Revenue Share Model for vehicle donations. Unlike a flat fee structure, the Percentage Model holds all parties invested to be responsible for maximizing revenue to the benefit of our partners and their donors. Through our extensive vendor network, CARS can provide our partners with industry leading inventory management, increased sales returns, and advantageous pricing structures. Will I have access to my vehicle donation information?

Absolutely! CARS offers secure access to donor and donation information through our protected online donation database (NAV). Custom and automated reporting is available, and access may be provided to multiple designated staff members in your organization.

How do I access my donation data?
-
Once your organization becomes an active CARS partner, you will receive an email from Indition CRM, prompting you to [Reset Password]. This will give you access to track donations in real-time and download the complimentary marketing materials available to you through the CARS Content Portal. If you do not see this email, please check your spam/junk folder, or contact your account manager or carspartners@careasy.org.
Please note that an email address from your organization’s domain (i.e., @careasy.org) will be needed to access your database. This means personal emails ending in @gmail.com, @hotmail.com, etc., will not be valid.
If you do not currently have an email address associated with your organization, please contact your account manager or carspartners@careasy.org, with an email address from your nonprofit’s domain, and we will provide you with new login credentials.
Please see the resources below to learn how to acquire an email address using your organization’s domain. The process will depend on the host of your organization’s domain (aka the website URL). Consult your domain host’s FAQ section if it isn’t listed.

How do I track my donations?

There are two ways you can track your vehicle donations:
1) By logging into NAV: Every CARS partner has easy access to their vehicle donation data in real time by simply logging into their NAV Account. An email is sent to you from Indition CRM with a link to NAV and a username/password when your first sign up. If you have trouble logging into NAV, please email your account manager or carspartners@careasy.org.
2) By reviewing your Donation Intake Report: A Donation Intake Report that includes all donations from the previous week is emailed every Monday to the preferred contact on file. Multiple people are able to receive this report. All Intake Reports are also available in NAV.
SUGGESTION: Schedule a NAV Tutorial with your account manager and learn how easy it is to export user-defined reports.

Can more than one person from my organization have access to NAV?
-
Yes. You are allowed to have more than one login for NAV. To request additional logins, please email your account manager. You will need the email addresses for the additional users. If you have trouble logging into NAV, please email your account manager or NAVSupport@careasy.org.

Do I have to log into NAV to see my vehicle donations?
-
No. Every Monday all donations from the previous week will be emailed to preferred contacts provided by the nonprofit. We call this the “Intake Report”. You may have more than one person at your organization receive the intake report.

How does CARS protect my vehicle donor information?
-
CARS (Charitable Adult Rides & Services) protects the privacy of every donor. Donor information is not given to any organization except the IRS as required by law. Donor names and addresses are shared exclusively with the donor-designated organization. Social Security Numbers required under the current tax law for vehicle donations are only shared with the IRS. Social Security Numbers are encrypted with AES256 encryption. The encryption key is stored remotely from the data. Controls are in place to limit who can request access to the decrypted Social Security Numbers with logs stored of each access.

Who do my vehicle donors contact for support?

CARS is the main point of contact for your donors throughout the entire donation experience. Our Vehicle Donor Support Representatives are here every step of the way. Almost everything at CARS is handled in-house, including our full-time Issue Resolution Department that handles any issues with Titles, ticket and/or tolls.
Please have your vehicle donors call your vehicle donation program phone number. Vehicle donors may also call CARS' Vehicle Donor Support Line at 855-500-7433 seven days a week. They may also email donorsupport@careasy.org anytime.

How do my supporters start a vehicle donation?

There are two ways your supporters can start their vehicle donation:
1) Have them call your toll-free number provided by CARS.Your Vehicle Donor Support Representatives (DSRs) are available seven days a week to answer donor inquiries with an average wait time of 30 seconds or less. At the beginning of the call, a Donor Support Representative will greet your donor and identify your vehicle donation program.
2) Have them submit the online vehicle donation form. CARS provides a vehicle donation page to every partner located on the careasy.org site. Each donation page includes an online donation form where your supporters can start tei donation. Once the donation form is submitted, a DSR will reach out to the donor within 48 hours, identifying the nonprofit's vehicle donation program at the beginning of the call..
SUGGESTION: When promoting your vehicle donation program, such as in an email or on social media, always include your toll-free number and a link to your vehicle donation web page.

Are vehicle donations a sustainable form of fundraising?

Yes! There's no shortage of potential vehicle donors! Every day, life creates circumstances where a supporter no longer needs a vehicle. CARS processes 100,000 vehicles a year, and we have returned more than $300 million to our nonprofit partners since 2003. Most of our long-term partners have experienced year-over-year growth in their programs since they became a CARS partner. Every donor matters and every dollar counts.

How do you maximize the revenue for every vehicle?

Every donation is individually evaluated by the CARS Operations staff prior to assigning the vehicle to a vendor. We strive to get the vehicle in the best sale-ready condition as possible to maximize the value, including washing the cars and making major or minor mechanical repairs. Vehicles may be sold at auction where CARS places floor bids and counter bids to ensure each vehicle is sold for the highest price. Lower-end vehicles may be sold directly to auto recyclers, which avoids costly tow fees and returns a higher net revenue to our nonprofit partner.

What can vehicle donors expect from the donation experience?
-
From the moment a donor contacts CARS, they are met with gratitude and treated with the highest level of service and professionalism. CARS is the main point of contact for your donors through the entire donation process and makes donating a vehicle easy by offering support every step of the way.
Starting the Donation: The donation form is either completed by the DSR on behalf of the donor or the donor may complete the entire donation form on their own online. DSRs work with the donor to confirm and/or obtain all information necessary to complete the donation, including vehicle condition, ownership and paperwork.
Verifying the Donation Information: When the donation form is complete, the DSR sends a confirmation email of the donation immediately to the donor to review and verify all information is correct for the pick-up. The donation confirmation email reviews the pick-up expectations, provides a link to step-by-step instructions for the donor to release liability in the registered state of the donated vehicle, and explains that the sale process can take up to four to 12 weeks. If a donor does not wish to provide their email, the donation confirmation can be mailed per the donor's request.
Scheduling the Pick-up: Once the donor provides CARS with all necessary information via the online vehicle donation form or over the phone with one of our Vehicle Donor Support Representatives, the DSR arranges to have the vehicle picked up at a convenient time for the donor.
Sending the Donation Receipt and Tax Documents: In most cases, donors will receive an initial donation receipt from the tow driver at the time of the vehicle pick-up. This initial acknowledgement will indicate the donor's name as well as the year, make, model and condition of the donated vehicle. Donors will then be mailed a thank-you letter on behalf of the receiving nonprofit, which serves as a tax receipt, within 30 days of the sale of the vehicle. This will be the donor's final tax document if their vehicle sold for less than $500. If the vehicle sells for more than $500 and the donor has provided their tax identification number, CARS will also mail an IRS Form 1098-C, ‘Contributions of Motor Vehicles, Boats, and Airplanes’, to the donor within 30 days of the sale stating the amount of gross proceeds received from their donation. CARS also assist donors and the nonprofit with the 8283 forms when a vehicle sells for more than $5000.

What can vehicle donors expect from the pick-up experience?
-
CARS vendors are hand-selected and monitored for performance to ensure the best experience for the donor and partner. All towing vendors are expected to treat donors with exemplary service while picking up vehicles. It’s “The CARS way”. Once a pick-up time has been chosen, the DSR will provide the name and number of the tow operator to the vehicle donor. The vehicle will be picked up and taken to one of our many sale locations where it will be sold.
In many cases, once the donation record has been created, a Donor Support Representative can schedule the vehicle to be picked up on the initial call. In other cases, the DSR will contact the donor within two to three business days to schedule a convenient appointment time with a vendor from the CARS network. The DSR lets the donor know what to expect during the pick-up process, explaining how the driver first accepts the vehicle, keys, and signed Title, then (in most cases) provides an initial pre-printed donation receipt with the information collected during the intake process*. When this paperwork is given to the donor, they will have verification that the vehicle was picked up on behalf of nonprofit receiving their donation. This form also provides the donor with CARS’ contact information should they have any questions.

What can we expect as far as vehicle donation communications?

Intake Report: Every Monday, all donations from the previous week will be emailed to you on the Intake Report. Remember, multiple people are able to receive this report. To view Intake Reports you will need to log in to the NAV Database.
Payment Reports: These reports that are sent to you with your checks or emailed to you on the day of your direct deposit.
Marketing Emails Periodic emails will be sent out to the people in your organization whom you have selected to receive this information. These include industry trends, tools to promote your program and much more.

In most cases, donors will receive an initial donation receipt from the tow driver at the time of the vehicle pick-up. This initial acknowledgement will indicate the donor's name as well as the year, make, model and condition of the donated vehicle. Should you not receive a receipt, please give our donor support team a call and we will get one out to you.
If their vehicle sells for $500 or less, donors will also be mailed a thank-you letter on behalf of the receiving nonprofit within 30 days of the sale of the vehicle, which serves as a tax receipt. This will be the donor's final tax document.
If the vehicle sells for more than $500 and the donor has provided their tax identification number, CARS will also mail an IRS Form 1098-C, ‘Contributions of Motor Vehicles, Boats, and Airplanes’, to the donor within 30 days of the sale stating the amount of gross proceeds received from their donation.
If the vehicle sells for more than $5,000, the donor will need to complete Section B of Form 8283 and obtain an acknowledgment signature on the form prior to claiming the deduction, and the completed form will need to be included with donor's income tax return.
If the vehicle sells for more than $5000 and the donor contacts CARS (Charitable Adult Rides & Services) directly requesting an 8283 Tax Form, one of our Donor Support Representatives will tag the record for 8283 Form Assistance. The Sr. Accounting Representative will email the donor the 8283/8282 Tax Form with the donor’s information to the nonprofit who received the donation. The nonprofit then completes the signature portion and mails the hard copy of the 8283 Tax Form to the donor. The nonprofit keeps a copy of the 8283 Tax Form and Hard copy for the 8282 Tax Form for their records, and the donation record is noted.
If the vehicle sells for more than $5000 and the donor contacts the nonprofit directly requesting an 8283 Tax Form, the nonprofit then emails CARS, to assist with providing the pre-filled 8283 Tax Form. CARS then emails the pre-filled 8283/8282 Tax Forms to the nonprofit. The nonprofit then mails the hard copy 8283 Tax Form with signature to the donor. The nonprofit also keeps a copy of the 8283 Tax form and a hard copy for the 8282 Tax Forms for their records. The donation record is noted.
